How to Switch Field Service Software Without Losing Your Customer History

Every field service software company publishes a page on why you should switch to them. Almost nobody tells you how to actually do it without losing three years of customer notes, job history, and payment records. If you're a solo operator or run a small crew, that data isn't just "nice to have" — it's the difference between showing up to a callback knowing a customer's panel is on the north side of the house, and showing up blind.

Here's the actual process, in order.

Step 1: Export everything before you cancel anything

Most field service tools let you export your data as CSV files, usually from a settings or account menu labeled something like "Export Data" or "Data & Reports." Do this while your subscription is still active — once you cancel, you may lose access to the export function entirely, not just the app.

Pull at minimum:

  • Customer contacts — name, phone, email, service address, billing address if different
  • Job history — dates, job type, notes, technician assigned, materials used
  • Invoices and payment records — invoice numbers, amounts, paid/unpaid status, payment dates
  • Any custom fields you've been using (gate codes, pet warnings, equipment serial numbers, preferred contact method)

Open each CSV after exporting and actually look at it. A shocking number of exports quietly drop custom fields or truncate long notes. If something's missing, check whether the old tool has a second export option (some separate "customers" from "job history" from "financials") before you assume the data is gone.

Step 2: Time the switch to a natural break, not a random Tuesday

Don't migrate mid-job or mid-billing-cycle. The two safest windows are:

  • The start of a new billing cycle — so you're not trying to reconcile invoices that started in one system and need to close out in another
  • Your slow season — winter for a lot of HVAC and landscaping work, whatever the equivalent lull is for your trade

If you have recurring maintenance contracts, finish out the current cycle in the old tool and start the next one fresh in the new one. Trying to split a contract across two systems is how customers end up getting billed twice.

Step 3: Run a one-week trial before committing fully

Before you move your entire customer list, pick 5-10 customers and run them through the new tool for a real week — scheduling, invoicing, the works. This surfaces problems you won't find by clicking around a demo: does the invoice template look right, does the scheduling view work the way your crew actually thinks, can you find a customer's history fast when they call.

If you have employees, have them do this trial week too. The person who's annoyed by the new interface should find that out before your whole customer base is riding on it, not after.

Step 4: Avoid double-billing during the transition month

This is where switches go wrong. If a customer's invoice was created in the old system but paid after you've moved to the new one, mark it as paid in the old system too — don't let two invoices for the same job exist in two places. Keep a simple spreadsheet during transition month listing every invoice issued and which system it lives in. It's tedious for four weeks and it prevents the awkward call where a customer says "I already paid you for that."

Step 5: Don't cancel the old tool yet

Keep your old subscription active, or at minimum keep your exported CSVs and a PDF export of key invoices, for at least 2-3 months after the switch. You will need to look something up — a job from 14 months ago, a warranty date, a customer dispute — and "I don't have access to that anymore" is not a place you want to be standing in front of a customer.

Getting the data actually into your new tool

Exporting is the easy part. Getting a clean CSV mapped into a new system's fields correctly is where most of the real work happens, especially if your old tool organized custom fields differently.
